Registration terms and conditions

Participation
Participation in the congress and the events of the CIMA 2017 congress is subject to a fee. Registration for the congress and the booking of social events is binding for the participant. Registrations received without payment within 14 days since registration date will not be processed or confirmed.

Confirmation
Within 48 hours of online registration, an automatic e-mail confirmation will be sent to the e-mail address provided during the registration process. A letter including logistical and practical details will be sent by e-mail approximately two weeks before the congress.

Payment
Registration fees are based on the date of receipt of the registration and payment. Fees are quoted in euros (EUR). Please note that payments in other currencies will not be accepted.

The fees are to be paid in advance according to the invoice generated during registration process. Payment of the registration fee is to be made by credit card or bank transfer. Any and all resulting bank charges are to be paid by the congress participant. Bank drafts and cheques will not be accepted.

Credit cards
Visa, MasterCard and Maestro are the only credit and debit cards accepted. Cardholder's name must be clearly mentioned if it differs from the registrant's name. The credit card transaction will be processed through the Congress Secretariat, PCO PUBLICON. Please note that your credit card statement will indicate payment made to 'CIMA XVIII Congress Tartu 2017'. Credit card handling fee, 2,45% of the final sum, will be added to the purcahse and is to be paid by the registrant.

Bank transfers 
Bank tranfers should be made according to the invoice received by registrant after completing the registration. Bank fees are the sole responsibility of the registrant and should be paid in addition to the registration fees. The bank transfer must clearly state the name of the participant and the invoice number, as unidentified bank transfers cannot be processed. If payment is made for more than one person or by a company, please make sure that all names and invoice numbers are properly indicated. Payment needs to be received within 15 days after completing the registration form; otherwise the registration will not be confirmed. Note that in any case the payment must be settled before the registration deadline or a higher fee will apply.

Cancellations
Any cancellation*** of registration and/or paid services within congress programme (transfers and tours) should be sent in writing to the congress secretariat e-mail secretariat@publicon.ee or by fax at +372 740 4094.

Cancellations received on or before 9 March 2017: refund of fee minus an administrative fee of EUR 30 (including 20% VAT). All refunds will be processed after the congress.
Cancellations received after 9 March 2017: no refund is possible.

Congress organizers reserve the right to make necessary changes to the programme at short notice. A pro rata reimbursement of attendance fee is not possoble for cancelled lectures or changes to the programme. 

*** Cancellation abstract submitters: if your abstract is not accepted for publication and/or presentation, you can cancel your registration free of charge within 14 days after receiving the message that your abstract has been rejected. The registration fee paid will be returned within 30 days after the outcome.

Registration changes and substitutions
Registered participants who are unable to attend the congress may indicate (free of charge) a substitute participant by notifying the organising secretariat in writing on or before 2 April 2017. Substitutions after this date will be processed directly on-site and are subject to a handling fee of EUR 25 (including 20% VAT) per change.

Changes to seletion of field trips can be made only on or before 2 April 2017. Changes after this date will be made according to vacancies on selected tours.

Accommodation
Accommodation booking for the congress can be made via separate online form. Hotel fee according to the invoice is to be paid in advance within 14 days . Hotel voucher will be issued and sent via e-mail after full payment. Any resulting bank charges are to be payd by the congress participant. Valid registration to the congress has to be made before accommodation booking.

Cancellations of your accommodation booking are to be done according to the policy of selected accommodation provider. Cancellation terms by every accommodation provider are shown on the online form for accommodation. Please submit your cancellation in writing to the congress secretariat e-mail secretariat@publicon.ee.
